Corporate Gala Dinner in Marrakech: The Checklist

To organise a corporate gala dinner in Marrakech for 100 to 300 guests, settle the objective and the format first, then the table plan, the staging, the technical set-up, the guest journey and a written plan B. In the Agafay desert, 40 minutes from Marrakech, a privatised site lets you do all of this with one group on site and nobody else.

1. Objective and format

Start with one sentence: what should guests feel and remember when they leave? A reward, a launch, an anniversary of the company, a client evening. The answer decides the shape of the night. Our base formats run from 30 to 300 guests, up to 300 seated, with smaller or larger sizes studied on request. For the general planning method, see our checklist for an event of 200 guests.

2. Table plan and shared table

A gala usually means seated dinner, but the layout changes the atmosphere. A long communal table makes a large group feel like one company, while several shared tables allow teams, clients or countries to be placed with intent. Decide who sits next to whom, where leadership sits, and how guests are guided to their place. Our dining format is built around the shared table, so conversation is part of the evening.

3. Scenography with guest designers

The desert is a blank canvas, and the scenography is what turns it into your evening. We work with guest designers who create the set for each event: the table, the lighting, the arrival path, the details guests touch and see. Share your brand colours, your story and the mood you want, and the scenography is composed from there. Nothing is a standard package.

4. Guest chefs and the menu

Guest chefs compose the menu from your guests' profile and the story of the evening. Think about dietary needs well in advance, and communicate them with the guest list. The pace of service matters as much as the dishes: a gala dinner should flow, with room for speeches and music between courses.

5. Sound and light

Sound and lighting give the gala its rhythm: a welcome atmosphere at golden hour, a dramatic switch when the night falls, a calm background for dinner and a stronger moment afterwards. We design lighting for the whole plateau so the landscape becomes part of the show. Music can range from live Gnaoua at arrival to a DJ later in the evening.

6. Speeches and awards

  • Keep speeches short and place them between courses, not at the start.
  • Brief each speaker on the microphone and the stage position.
  • For awards, prepare the running order, the names and the visual support in advance.
  • Choose one host or master of ceremonies to link the moments.

7. Welcome and transfers

Private transfers from Marrakech to the site and back are part of our offer. The last stretch is a 4x4 track, so we plan vehicles and departure waves with you. Guests are welcomed on arrival, guided to the site and accompanied until the return. Many groups fly in specially: about 3 h 30 from London, about 3 h from Paris. See our guide to flight times for event groups.

8. Technical requirements

  • Stage. Size, height, access and backstage area for presenters and performers.
  • Screens. Positions that every table can see, with a plan for content and playback.
  • Control desk. A technical position for sound, light and video, with a clear person in charge.
  • Rehearsal. A time slot before guests arrive to test the full running order.

9. Plan B for weather

The desert is dry for most of the year, but a plan B is part of any serious gala. Agree a written fallback during preparation, with the decision time and who makes the call, so nothing is improvised on the night. The ideal season runs from October to May, as explained in our guide to choosing the season for an event in the Agafay desert.

10. Looking after your guests

A gala is more than the dinner itself. Think about the information sent before the event, dress advice for the desert, and the arrival and departure experience. Our team stays alongside your participants throughout their stay in Morocco, for any need or any idea, so guests always have someone to ask.

Key points to remember

  • Define the objective before the format.
  • Choose the table layout deliberately: communal or several tables.
  • Let guest designers and guest chefs compose the setting and the menu.
  • Plan sound, light and the technical set-up with a rehearsal.
  • Organise transfers and a written plan B.
